Minutes
Fall Calendar
- Two large meetings
- #1 Season Kickoff - 1st week in October - Administration Sub-team will coordinate
- date chosen to occur after B-COM with is the last week in September. B-COM is an event that advertises groups and clubs
- This meeting will be used as a recruiting meeting for prospective students and their parents to attend
- The agenda for this meeting will be some sort of “robot” game with rules and materials.
- #2 Orientation - 2nd week in October
- Informational meeting to introduce what FIRST is, what Team 3707 is and how it works
- Fall Season meeting structure- no meeting is mandatory * Mondays 6-8 pm Project/Training/Leadership Meeting
- students and mentors are welcome to attend to work on project or attend a training session
- 7 PM-8 PM Leadership meeting includes student leaders and mentors (student leaders will meet with Mr. Roberts some day after school on a regular basis)
- End of Fall Season Demonstration Day - sometime in December
- The agenda for this meeting will be for each group to present what they did from September to December. May include showing off a repaired robot, highlighting progress on an award etc.
*Build Season Preparation Kickoff - Sometime in December after End of Fall Season Meeting
Questions for Groups
- Each group was asked to answer the following questions
- - What is your main goal for fall?
- - How are you going to engage new students?
- - What will make your group Chairman's Award ready?
Build Management Group
- GOAL - Get old robots up and ready for work (outreach or training)
- ENGAGEMENT - We will have the new students help us repair the old robots, explaining the components and how they work as we go.
- CHAIRMAN READY - We will use the old robots for outreach where we can talk about FIRST and how it benefits those who participate.
Safety
- GOAL - Get all students to complete the SP2 training as soon as possible and to get an inventory process established
- ENGAGEMENT - new students will be part of an inventory core (certain people responsible for certain devices)
- CHAIRMAN READY - Will be available to support other subteams
Finance
- GOAL - Reaffirm old sponsors, acquire new sponsors and brainstorm for fundraising ideas
- ENGAGEMENT - Use the interest survey as a tool to identify students that may be interested in finance. Offer training such as learning MicroSoft Excel or polishing presentation skills
- CHAIRMAN READY - Will provide the financial report for the award, provide funding for sub-teams
Administration
- GOAL - gauge the students interests in the team and sub-teams
- ENGAGEMENT - introducing communication between students and management
- CHAIRMAN READY - volunteer help where needed
Competition Mangagement
- GOAL - Get drivers trained, get some field elements to make a course, need a practice field, organize scouting team, make a new cart
- ENGAGEMENT -training the new students in scouting and driving
- CHAIRMAN READY - help develop a good, responsible team image
Competition Robot
- GOAL - Learn how to use new equipment
- ENGAGEMENT - Not applicable
- CHAIRMAN READY - documentation will be ongoing and ready when needed. No last minute scrambles to generate documentation
Public Relations
- GOAL - organize communication to parents. Send them a quick video every now and then
- ENGAGEMENT - get on announcements to help engage new students
- CHAIRMAN READY - Will provide the 3 minute video portion of the submission
Miscellaneous
- would like to have a organizational structure quick reference to hang around the robotics room to remind people of the new structure
- Hans would like us to reintroduce ourselves to Eberspacher
- GM is putting up a half field at the Proving Ground. They are also working on a Proving Ground tour for the robotics folks.
- discussion of getting a Go Pro or accessories for our cell phones. The team has a cell phone.
- Can talk to teachers for resources like tripods, monopods.
- Zoe spoke of doing fundraisers like Chipotle and Mod Pizza nights as well as getting sponsors.
